Information we collect
When you enquire or book, we collect the details needed to respond and arrange your service: your name, contact information, service address, requested work, appointment preferences and relevant property or access instructions. We may also keep booking history, invoices, payment status and communications about your service.
Please share only information relevant to the cleaning. Avoid putting medical details, identity documents or full payment-card information in email or booking notes. Discuss a suitable way to provide keys or sensitive access instructions with us.
Why we use it
We use this information to answer questions, assess service suitability, provide quotes, schedule and deliver agreed work, arrange property access, process payments, send booking updates, resolve concerns, and maintain business and legally required records. We also use relevant technical information to operate and protect the website and booking system.
We limit collection, use and disclosure to reasonable purposes connected with our services, with consent or another basis permitted by applicable law. Giving us details for a quote or booking allows us to use them for that request; it does not by itself enrol you in promotional messages.
Booking, payment and service providers
Our online booking form is provided by BookingKoala. It collects booking information within an embedded form on our website. Card details are entered into the payment provider’s secure fields; the current booking form uses Stripe. Do not send card details to us by email or text.
Relevant information may be shared with the people assigned to your service and the providers supporting booking, payments, communications, hosting, accounting and business administration. We limit sharing to what is needed for those purposes. Providers may process information outside British Columbia or Canada, where it may be subject to local laws and lawful access requests.
We do not sell your personal information. We may disclose information where legally required or permitted, including to address fraud, protect safety, respond to lawful requests or handle a business transfer with appropriate safeguards.
Website, cookies and outside links
Website and booking providers may receive technical information such as IP address, browser and device details, requested pages and timestamps. Embedded booking and payment features may use cookies or similar storage for functionality, session management and fraud prevention. Blocking them may prevent the booking form from working.
The website loads fonts from Google Fonts. Following a Google review link opens Google, where Google’s privacy practices apply. The review excerpts shown on this website are manually selected; there is no live Google-review widget. Our short marketing video is served as a website file and loads when you choose to play it.
With your permission, we use Google Analytics to understand page visits, traffic sources and website use. Analytics may use cookies and send technical information to Google, which may process it outside Canada. It loads only after you choose Allow analytics. You can decline and still browse or book, and change your choice through Analytics choices in the footer. We do not send booking details or contact information to Analytics, and advertising personalization is disabled. See Google’s privacy policy. BookingKoala has its own cookie controls inside the booking form.
Messages and your choices
We use the contact details you provide for enquiries, appointment confirmations, access arrangements, reminders and other service messages. Where we send promotional emails or texts, we rely on consent or another basis allowed by Canada’s anti-spam rules and provide a way to unsubscribe.
Use an email’s unsubscribe link, reply STOP to marketing texts where supported, or contact us to change your preferences. Opting out of marketing does not cancel a booking. Tell us if you need a different way to receive essential appointment information.
Retention and protection
We keep personal information for as long as reasonably needed for the purposes described here and for applicable legal, tax, accounting, insurance or dispute requirements. Information used to make a decision directly affecting an individual is retained for any minimum period required by applicable privacy law. When it is no longer needed, it should be securely deleted or anonymized, subject to lawful retention and backup processes.
We take reasonable administrative, technical and physical steps to protect personal information and limit access to people who need it. No website, email service or storage system can promise absolute security. Please contact us promptly if you believe information connected with your service has been exposed or misused.
Access, correction, consent and complaints
You may request access to your personal information, ask us to correct it, withdraw consent where applicable, or raise a privacy concern. Some records may be subject to legal exceptions or retention requirements. Withdrawing information needed to arrange or deliver a service may affect our ability to provide it; we will explain the practical consequences.
Send your request to book@themaintenancesoldiers.ca and mark it “Privacy request.” It will be directed to the person responsible for privacy. We may ask for reasonable identity verification and clarification, and will respond within the time required by applicable law. We will explain any applicable exception or permitted fee before proceeding.
British Columbia’s Personal Information Protection Act applies to private-sector organizations in BC; other Canadian privacy laws may apply in particular circumstances. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
Updates and contact
We update this notice when our practices or services change. The date above identifies the latest version. Material new uses of information will be addressed with notice and consent where required; posting an update does not remove your existing rights.
For privacy questions, contact The Maintenance Soldiers at book@themaintenancesoldiers.ca or (778) 653-6222. Our services are intended to be arranged by adults; we do not knowingly solicit personal information from children.
